You send a quote to a potential client, and the reply never comes.
You follow up but still nothing.
Then someone from your network tells you the client thought it was spam because the Email came from a Gmail address.
That one detail cost you the deal.
After setting up professional email accounts for dozens of businesses, the setup takes less than ten minutes.
What takes longer is convincing business owners they need it in the first place. If you already know what you do.
Here is exactly how to create a professional email in Pakistan.
What Is a Professional Business Email?
A professional business email uses your own domain name instead of a free provider.
Instead of [email protected], it becomes [email protected] or [email protected].
The domain in your email address is the same as your website.
It is important for one simple reason: trust.
When a Pakistani client, supplier, or partner receives an email from a branded address, it shows that the business is real, registered, and serious.
A Gmail address shows the opposite, even if the business is legitimate.
What You Need Before You Start
You need two things: a domain name and a hosting plan that includes Email. If you already have both, skip to the next section.
- A domain name like .pk, .com, or .pk: This is the part that comes after the @ symbol in your email address.
- A hosting plan with email accounts included: Most shared hosting plans in Pakistan include email accounts at no extra cost. Truehost PK Workplace Emails start from Rs. 0.40 per day.
If you do not have a domain yet, register one first. A .com.pk domain costs between Rs. 1,200 and Rs. 2,500 per year, depending on the provider.
Once your domain is active and pointed to your hosting, you can create email accounts immediately.
How to Create a Professional Email in cPanel (Step by Step)
Most hosting providers in Pakistan use cPanel to manage hosting accounts. Truehost PK uses cPanel.
The steps below apply to any cPanel-based hosting.
- Log in to your cPanel. Your hosting provider sends your cPanel login details by Email when you sign up. You can also access it directly at yourdomain.pk/cpanel.
- Find the Email section. Once inside cPanel, scroll until you see the Email section. Click on Email Accounts.
- Click the Create button. This opens the new email account form.
- Select your domain. If you have more than one domain on the account, choose the right one from the dropdown.
- Type your username. This is the part before the @ symbol. Common choices are: info, sales, support, hello, or your first name. Keep it short and easy to spell.
- Set a strong password. Use a mix of letters, numbers, and symbols. Avoid using your business name or common words.
- Set the mailbox size. The default is usually 250MB. If your team sends and receives attachments often, increase this to at least 1GB.
- Click Create. Your email address is now active.
That is the full process. Your new email address is ready to use.
You can access it immediately through webmail directly in cPanel, or set it up on your phone and computer using Outlook, Gmail app, or Apple Mail.
How to Access Your Business Email
You have three ways to check and send emails from your new address.
Webmail:
Open your browser and go to yourdomain.pk/webmail. Enter your full email address and password.
Roundcube is the cleanest webmail interface available in cPanel.
Gmail app or Outlook on your phone:
Go to account settings in your mail app and add a new account.
Choose IMAP. Enter your full email address, password, incoming server like mail.yourdomain.pk, and outgoing server like mail.yourdomain.pk
Port 993 for incoming and 587 for outgoing. Your hosting provider’s welcome Email will have the exact server details.
Desktop email clients:
Outlook, Thunderbird, or Apple Mail all work the same way. Add a new account, choose IMAP, and enter the same server details above.
IMAP is recommended over POP3 for most Pakistani businesses. IMAP keeps your emails synced across all your devices. If you read an email on your phone, it shows as read on your desktop too.
What Email Addresses Should You Create?
The format of your email address says a lot about how your business is organized. Here are the most common formats used by Pakistani businesses:
| Format | Example | Best Used For |
| info@ | [email protected] | General inquiries |
| sales@ | [email protected] | Sales and quotations |
| support@ | [email protected] | Sales and quotations |
| firstname@ | [email protected] | Customer support |
| firstname.lastname@ | [email protected] | Formal client-facing roles |
Start with info@ and one personal address. You can always add more accounts as your team grows.
Every cPanel hosting plan allows multiple email accounts on the same domain.
One Step That Stops Your Emails from Going to Spam
Setting up the email address is not enough on its own.
If you skip this step, your emails will land in the recipient’s spam folder, and you will never know.
You need to set up SPF and DKIM records.
These are DNS settings that tell email providers like Gmail and Yahoo that your emails are real and not spam.
SPF record:
- Go to cPanel
- Open Zone Editor, and check if an SPF record already exists.
Most modern hosting providers, including Truehost, set these automatically. If it is missing, add this to your DNS: v=spf1 +a +mx include:yourhostingserver.com ~all
DKIM:
- In cPanel, go to Email, then Email Deliverability.
- Click Repair next to your domain.
- cPanel will generate and install a DKIM key automatically. It takes about 30 seconds.
Once both are set, go back to Email Deliverability and check that your domain shows green for SPF, DKIM, and PTR.
If all three are green, your emails will reach inboxes reliably.
cPanel Email vs Workplace Emails: Which Should You Use?
If your hosting plan includes cPanel Email and you have a small team of one to five people, cPanel Email is perfectly good.
It is included in your hosting cost and handles standard business communication well.
Truehost Workplace Emails is a better option if you need more storage per account, a cleaner web interface, shared calendars, or better collaboration tools.
It starts from Rs. 0.40 per day and is priced for Pakistani businesses paying in local currency.
For most small businesses in Pakistan, start with cPanel email.
Move to Workplace Emails when your team grows or when you need a shared calendar and larger mailboxes.
